Cancellation policies

CANCELLATION POLICIES

Viajes Regency is a travel and tour operator that acts solely as an intermediary between the traveler and the entities or individuals that provide the services indicated in itineraries, or any printed media, in relation to transportation companies, hotels, restaurants, among others. Therefore, Viajes Regency is not and will not be responsible for any deficiencies, delays, or negligence in any of the services provided by the entities or individuals that provide the services. All itineraries are delivered to and accepted by the traveler - any clarification of charges, taxes, conditions, etc., should be consulted with the travel advisor. Any additional information regarding taxes, conditions, expiration dates, fees, charges, and other mandatory payments should be consulted with the travel advisor. Likewise, VIAJES REGENCY is not and will not be responsible for: • Flight delays. • Poor service provision by the airline. • The hotel and services chosen by the traveler that are not entirely to their liking or satisfaction, as they were selected and accepted voluntarily by the traveler. • In the event that the traveler does not receive medical assistance and an event occurs, the operator is not and will not be responsible. • Any monetary refunds requested by the traveler are subject to deductions made by the service provider. Each tour operator maintains its own policies and restrictions. • Likewise, the operator is not and will not be responsible if a natural or fortuitous event occurs. • If the traveler decides to cancel the trip for personal reasons (inability to leave due to lack of documentation, false documents, etc., travel ban, among others), Viajes Regency will not be responsible. • Any applicable refunds, taking into account services not provided by the company, will be defined by each tour operator or airline. In the event that the traveler cannot receive services (tours, etc.) due to proven health reasons, the refund policies for services not received will be solely defined by the service provider. Viajes Regency and/or the service providers reserve the right to modify the travel itinerary and services if necessary or essential for the enjoyment and organization of the trip, or due to any force majeure circumstance that requires it. In the event that the traveler expressly requests or accesses an upgrade of the itinerary, hotel, or flight, they must pay the difference in costs for the requested changes. However, all requested changes are subject to availability. In cases where refunds apply, they will be issued within thirty (30) days of the request. Viajes Regency will inform the traveler if they require a visa for the chosen destination. However, the operator is not responsible for processing the required visa or permits; it is the sole responsibility of the traveler. In the event that a visa is denied, there will be no refund of amounts paid by the traveler. If the visa is granted and the airport authorities of the destination country do not allow the passenger entry, there will be no liability for these decisions, nor will there be refunds for this reason. Refund policies for services not provided, if any, will be solely defined by the service provider, as they are established by special economic conditions of the contract or the type of service contracted. PAYMENT METHOD CONDITIONS

Payment methods for deposits, subscriptions, and balances to guarantee travelers' participation in excursions, cruises, high-season departures, or any special event are subject to the policies of the organizer and/or the companies providing these services; these will be communicated through your sales representative or in print.

ITINERARY CONDITIONS AND MISCELLANEOUS RATES

  1. When quoting, the cost of itineraries, transportation rates, applicable taxes and fees, etc., are calculated based on the currency exchange rate (e.g., dollars, euros, yuan, Colombian pesos, Mexican pesos, etc.) as of the quoted date. Therefore, the quoted price may vary depending on the currency exchange rate. In the event of any such fluctuations, travelers will be notified in writing and will be responsible for the cost of said fluctuations.
  2. Taxes and fees affecting airfares, hotel rates, and other services offered by Viajes Regency may vary at any time at the discretion of the service providers involved in the itineraries or services offered. The rates presented in the quotes are subject to change and availability.
  3. Accommodation rates (hotel, villa, etc.) vary according to season, location, and category and are subject to changes in the reservation.
  4. The traveler must comply with the accident and traffic regulations of the destination country, with regard to the land transportation selected by the traveler and used at the destination. In the event of a road or land accident involving the vehicle, the traveler must comply with the country's laws and the terms of the insurance chosen. The payment of any compensation in the event of an accident is the sole responsibility of the insurance companies, and Viajes Regency is excluded from any liability to third parties such as airlines, shipping companies, operators, etc.
  5. In the event that the traveler wishes to make any changes or modifications to their trip on their own, Viajes Regency will not be responsible for the modifications made or for any refunds for services not taken. Likewise, it is not jointly responsible for the amounts requested as a refund by the traveler, who will be subject to deductions made by the service provider. Each service provider maintains its own refund or change policy, which the traveler must adhere to.
  6. Regency Travel will not be responsible for any additional expenses incurred by the traveler due to legal or other matters involving the tour, which requires the traveler to withdraw from the tour. For services not provided at the time of the traveler's withdrawal, the operator's refund policies will apply, if applicable.

BAGGAGE AND TRAVEL RESTRICTIONS

The passenger will be solely responsible for the safekeeping of their luggage and travel documents. Under no circumstances will Viajes Regency be liable for the loss, damage, deterioration, or loss of passenger documents or items. Viajes Regency will inform passengers of airline restrictions regarding weight and number of pieces per passenger, provided these are arranged by the carrier. However, it will be the traveler's sole responsibility to comply with these policies, which may vary at the discretion of the airlines without prior notice. Travelers may request a policy from the insurance company of their choice that covers aspects such as loss, theft, deterioration, or damage to their belongings. The traveler will be informed by the carrier of restrictions, cancellation policies, penalties, and specific conditions of the services to be provided. Once the funds are received for deposits or full payments, it is understood that the traveler understands and accepts all payment and cancellation policies for the itinerary or services they are purchasing.

ACCEPTANCE OF CONDITIONS

The traveler declares that he or she is aware of and fully accepts the policies and conditions set forth above, which constitute a sole agreement regarding the terms, conditions, and restrictions of the contracted services. The traveler declares that he or she has been informed, understood, and accepted all the conditions and restrictions of the services, as well as the services of tourism, assistance, transportation, and other service providers purchased from Viajes Regency.
